Digitally Route and Sign Documents

When exchanging documents with third parties, it is often necessary to obtain signatures – for example, in the case of contracts. In QBD.Net, created documents can now be sent directly to the relevant persons for signing via the new “Signature” workflow step using a portal connection.

Why Digital Signatures?

An example: A new supplier contract is created in the QBD.Net document management system and goes through the internal review process. Afterwards, the “Signature” workflow step is automatically initiated. The contract is sent via an exchange portal, for example qxhub, to the supplier as well as the internal responsible party for digital signature. Both parties can sign the document regardless of location and within a very short time. Once the signing process is completed, the fully signed contract is automatically transferred back into the document management system, where it is archived in a revision-safe manner and is immediately available to all authorized users. The entire workflow is transparently documented and can be tracked at any time.

What This Means for CAQ.Net

With the current release 26.1.20.1, you can integrate the collection of signatures directly into document control in QBD.Net:

  • Word documents with any number of signature fields can be sent directly to defined recipients for digital signing via an exchange portal using the new “Signature” workflow step.
  • After signing, the documents are seamlessly returned to QBD.Net, where they are structured, archived in a revision-safe manner, released, and distributed.
